Rare permanent part time role! Seeking an excellent Practice Assistant with a team player mindset to support a Partner and authors in our commercial Real Estate team.

About the role

This part time permanent role provides key legal practice support to Partner Jessica Wallis, whose practice specialises in commercial real estate. Jessica works with a number of Australia's leading property groups and global investors on their investment and major project work.

Work days will be Monday and Tuesday, as part of a job share arrangement. Given the job share, a candidate who is able to work collaboratively and closely with their team with top notch communication skills will be best suited.

Responsibilities will include:

  • Preparation of legal documents including formatting correspondence and documents, photocopying and printing documentation
  • Maintaining an efficient and effective electronic and paper filing system
  • Scheduling appointments in authors’ electronic diaries
  • Providing exceptional client service to both external and internal clients, in person and by phone
  • File management
  • Monthly billing
  • Assist Business Development team with draft pitches and tenders
  • Assist with coordinating client events with the Business Development and Events team
  • General administrative tasks such as booking conference rooms and functions, organising travel arrangements, AMEX reconciliation/expense management for authors

 

What experience are we looking for?

  • At least 2 years’ experience in a legal secretarial or legal assistant role
  • Typing speed of 70+ wpm highly regarded
  • Advanced knowledge of Outlook, Word, Excel and PowerPoint
  • Ability to analyse, problem solve and apply appropriate use of judgment
  • Ability to communicate clearly and concisely, choosing an appropriate style for their audience
  • Previous experience using Elite or similar system an advantage
  • Well-developed interpersonal skills
  • Confidence and ability to use initiative appropriately
  • Effective planning and organisational skills
  • Business or Secretarial Course highly regarded
